Administrative Assistant III, Early College & Promise Programs Salary $19.36 - $25.17 Hourly Location Prescott Campus, Prescott, AZ Job Type Full Time Job Number 2026-00136 Department Early College Prog (Dual Enrollmnt) Opening Date 05/15/2026 Description Benefits Questions Description of Position The Administrative Assistant supports the operational, administrative, and logistical functions of Early College and Promise Programs across the district. This role is responsible for coordinating program activities, managing scheduling and events, supporting instructional processes, and maintaining accurate records to ensure efficient, compliant, and student-centered program delivery. This position plays a key role in supporting high school partnerships, dual enrollment faculty coordination, and early college and promise programming across multiple campuses and sites.
Key Responsibilities:
Coordinate day-to-day administrative operations for Early College and Promise programs Manage complex scheduling across multiple campuses, high schools, faculty, and program activities Maintain program calendars and coordinate meetings, workshops, and key events Plan and coordinate logistics for Early College events, workshops, orientations, and partner meetings Manage scheduling, space reservations, materials, and communication for all program events Support recruitment and outreach activities in collaboration with program staff and partners Coordinate processes related to Dual Enrollment faculty staffing and stipend assignments Support Faculty Liaison/FLAC coordination, including scheduling, communication, and documentation Assist with tracking and processing faculty stipends in collaboration with Payroll and the Business Office Maintain records related to course offerings, faculty assignments, and instructional needs Support coordination with high school partners for scheduling, workshops, and program activities Support audits, reporting requirements, and adherence to state and institutional policies Coordinate with the Business Office on documentation for third-party billing, payments, refunds, and stipends Acts as a backup for the Admission Area Acts as a backup for the Enrollment Management Coordinator Assist with tracking program-related expenditures and documentation and acts as a budget liaison for Early College Support processing of forms related to concurrent enrollment and program participation
Minimum Expectations & Requirements Education:
Associate's degree
Experience:
Three years of related experience
Knowledge/Skills/Abilities:
Experience in administrative coordination, preferably in higher education or K-12 partnerships Strong organizational skills and attention to detail Excellent verbal and written communication skills Ability to manage multiple priorities across campuses and external partners

LEAVE BENEFITS
Vacation :
10 days of Vacation leave annually.
NOTE:
For employees who work an amount of contractual days, there will be no earned vacation.
Sick Leave:
12 days sick leave annually.
NOTE:
Employees working less than full time or an amount of contractual days will receive a proration of sick leave.
Personal Leave:
Use of up to three personal leave days per year which are charged against accumulated sick leave to take care of items of personal business
Other Leave:
Bereavement leave, Civic Duty Leave (Jury duty, active military duty, military training), and Family Medical Leave Act (FMLA)
Holidays:
24 days during the year as paid holidays for full-time employees which include Independence Day, Labor Day, Veterans Day, 3 days at Thanksgiving, Winter/year end break (10 days), Martin Luther King Day, Spring Break, Memorial Day, and Juneteenth.
OTHER BENEFITS
Breaking Bread:
32 meal swipes for use at the Prescott Campus Eatery. All Other Campuses and Sites receive a $140 credit each semester (fall and spring) to be used at the Open Market on campus/center
Spanish Interpreter Incentive Program:
Employees interested in additional compensation for their Spanish speaking skills agree to assist YC by attending two recruiting events and being available for Spanish Interpretation needs as they arise. Compensation is added to the employee's regular pay at the rate of $175 per month. Employees that are interested in participating let your HR Business partner know, so they can schedule you for the ACTFL language proficiency test at the YC testing center.
Direct Deposit:
Paychecks deposited directly into the employee's bank account(s)
Tuition Waiver:
Eligible Full-time Faculty and Staff, their legally married spouse, and eligible dependents may enroll in a partial or full program of coursework without payment of tuition, exceptions may be lab fees and market-based additional fees
Sabbatical:
Faculty, professional, and administrative staff may apply for compensated leave of up to a year after six years of continuous service
