REPORTS TO:
Building Principal
DEFINITION
Under general supervision, provides advanced administrative support for a school and School Principal within the Somerton School District No. 11.
TASKS:
Registers students and places into rooms following guidelines; fills out required paperwork and files; requests information from and sends information to student records; prints out reports; monitors daily student attendance; takes absence information over the phone, by note or in person; reports student attendance via computer to District and state; reports truancies to state; runs specialized reports regarding attendance. Monitors staff attendance and processes leave request forms; reports absences; assigns substitutes; prepares time documentation for substitutes; informs staff of absences; prepares school payroll and submits to District office; assigns duties for absent staff; inputs and retrieves payroll reports for District and school; some positions may prepare work assignments, train employees and review work for completion. Prepares correspondence, memos, flyers and letters; translates information to parents; greets visitors, staff and students; answers phones, schedules appointments for Teachers, parents and Principal; orders and tracks inventory of uniforms; verifies money, records and deposits for student activities; prepares schedule for special classes. Assists Principal, Teachers, Directors and others as needed; assists with opening and closing of school each year; prepares end of year reports; requisitions supplies requested from staff and Principal; administers student discipline as needed in the absence of Principal; and performs related duties as assigned.
KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS
Knowledge of District and school policies and procedures. Knowledge of student registration procedures and methods. Knowledge of reception and telephone etiquette and techniques. Knowledge of administrative support and record-keeping techniques. Knowledge of standard office practices, principles and methods. Skill in the use of a personal computer and related software. Skill in English composition, grammar, spelling and punctuation. Skill in verbal and written communication. Skill in following oral and written instructions. Skill in establishing and maintaining effective working relationships.
PHYSICAL REQUIREMENTS
Work is performed in an indoor environment. Work requires frequent standing, walking, sitting, repetitive motion and vision to monitor.
QUALIFICATIONS
High School Diploma or equivalent, and three (3) years administrative support experience. Fingerprint Clearance Card (IVP) required at the time of hiring.
