Job Description:
The Tempe Tourism Office, a 501(c) 6 organization, is seeking candidates for the position of Office Coordinator. Our mission is to promote the City of Tempe, AZ as a desirable meeting and leisure destination. The organization consists of 12 total staff members and 20 board members and is funded primarily through City and County hotel tax revenue providing us with an annual budget of $4.1M.   • Part-time position Position Overview The position of Office Coordinator provides support to both the Finance and Operations Manager and the President & CEO.
This is a part-time position that requires the staff member to be in-office 5 days a week from 8:30am-12:30pm. The duties assigned include administrative work, activity planning, project management, managing the Visitor Center, and assisting visitors. There are other occasional tasks that include participation at local community events such as the Tempe Chamber of Commerce and Arizona State University. Staff Core Values

        We encourage individuality and diversity Job Responsibilities Successful job applicants will be able to perform the following functions with minimal supervision:
        Administrative:
        • Manage inventory and re-stock office supplies, cleaning supplies, and employee refreshments. Collect requests from staff and purchase supplies
        • Manage shipments of materials (Amazon/UPS/FedEx) and collect and distribute mail daily
        • Assist in the planning of off-site meetings such as monthly board meetings, annual retreat, annual event, and quarterly hotel networking programs
        • Assist the staff with projects as needed such as database entry, research, creation of welcome bags, and organization of promotional giveaways
        • Conduct property walks and report any maintenance or cleanliness issues to the Finance & Operations Manager
        • Manage staff activities committee that includes the planning of staff volunteer opportunities, monthly staff lunches, birthdays, anniversaries, and staff team building initiatives Reception
        • Visitor Center:
        • Have in-depth knowledge of Tempe's attractions, events, shopping, dining and other tourism related activities
        • Welcome walk-in and call-in visitor requests and assist them with their questions
        • Answer phone calls and emails as the first point of contact with the ability to filter appropriate inquiries to staff
        • Respond to any voice messages or emails left after hours
        • Use recommended software to develop itineraries for visitors
        • Create initiatives and projects to improve visitor center and visitor experience
        • Manage inventory of visitor center collateral such as visitor guides, local attraction pamphlets, etc.
        • Manage the fulfillment process for visitor's guide requests
        Community Participation:
        • Represent the organization at community events as assigned such as Tempe Chamber of Commerce programs and ASU orientation programs
        • Participate in ASU related activities as needed such as ASU Homecoming and welcome programs
        Education/Experience/Skills :
        • Proficient in Microsoft Office 365 (Outlook, Excel, TEAMS, Word)
        • Proven ability to work in a diverse environment
        • Minimum of two years of experience in customer service and administrative development
        • Excellent oral and written communication skills
        • Detail-oriented, able to multi-task, and prioritize duties
        • High comfort level in speaking to visitors, assessing their needs and providing recommendations
        • Ability to develop a strong knowledge of Tempe's tourism product
        Work Environment:
        • This position operates in a professional office environment that values equity, diversity, and inclusion
        • The staff members routinely use equipment such as computers, phones, photocopiers and filing cabinets
        • Candidates must be flexible with fluid work situations including working remotely if necessary
        • Use of personal vehicle for normal course of business
        Physical Demands:
        • This is largely a sedentary role. However, some lifting or moving boxes (up to 20 pounds) and bending or standing on a stool might be required. Compensation
