Job Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff, clients, and visitors alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle inquiries, route calls efficiently, and provide excellent customer support Maintain organized filing systems, both physical and digital, including data entry and document proofreading Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and document creation Coordinate calendar management for executives or teams, including appointment setting and meeting arrangements Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support office management Assist with clerical tasks such as photocopying, faxing, mailing, and inventory management to ensure office productivity Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Demonstrated experience in office management or administrative support roles Bilingual abilities are highly desirable to serve diverse clients and team members effectively Exceptional customer service skills coupled with professional phone etiquette and active listening abilities Proven data entry skills with high accuracy and attention to detail; familiarity with proofreading is a plus Experience in medical or dental receptionist roles is advantageous but not required; familiarity with calendar management and personal assistant duties is beneficial Knowledge of bookkeeping practices using QuickBooks or similar software; basic understanding of office equipment operation (e.g., multi-line phones) Join us in creating a vibrant workplace where your organizational talents shine!
