The ideal candidate will provide essential support to ensure smooth office operations, manage administrative tasks efficiently, and deliver excellent customer service. This role requires strong computer literacy, exceptional organizational skills, and the ability to handle multiple responsibilities with professionalism and accuracy. Bilingual skills are a plus, as well as experience with office management and data processing. Additionally, in assistance in managing social media marketing & responses to client feedbacks. The successful candidate will be proficient in Microsoft Office, Microsoft Outlook, Microsoft Excel, and familiar with helping create office processes and templates to create efficiencies. This is a paid position suitable for individuals with clerical or administrative experience looking to contribute to a dynamic office environment. Key Responsibilities Manage desk duties including greeting visitors and answering phone systems with professional phone etiquette Perform data entry, filing, and proofreading to maintain accurate records and documents Handle calendar management and schedule appointments using Microsoft Office Outlook and Google Workspace tools Perform job intake by collecting relevant customer information and entering details into the system Assist with processing data for loan applications, and business services offered Provide customer support by addressing inquiries promptly and courteously Provide weekly update email notifications to all clients on active process statuses Perform customer incoming/outgoing calls to conduct intake eligibility of client enrollments Assist in all social media marketing efforts and provide timely customer responses Support office management activities such as organizing files, managing correspondence, and supporting team members Coordinate meetings and prepare necessary materials for presentations or discussions Maintain an organized workspace and ensure office supplies are stocked as needed Support personal assistant tasks including calendar management and task prioritization for executives or team leaders Qualification Experience Minimum 3+ years in previous admin position/office environment, required Associates Degree or higher preferred Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Gmail, Calendar, Docs) Experience with loan processing in a bank or loan origination center is ideal Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Effective communication skills, oral, writing and strong confident telephone skills Must be detail oriented, have good analytical skills, efficient, and reliable. Confidentiality is a must Excellent typing speed and data entry accuracy Social media proficiency in Facebook, LinkedIn, and Instagram Proactive mentality to completing tasks and helping grow the company with creative process implementations Bilingual (English/Spanish) abilities are desirable to assist diverse client needs Demonstrated ability to handle phone systems professionally and provide exceptional customer service Knowledge of office management practices, filing systems, and time management techniques Personal assistant or executive support experience is beneficial
