In this vital role, you will be the backbone of our office operations, ensuring smooth day-to-day functioning through exceptional administrative support. This paid position offers an exciting opportunity to develop your office management skills while contributing to a vibrant team dedicated to excellence. Duties Manage desk responsibilities, including greeting visitors and handling phone calls with professionalism and courtesy Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices Assist with calendar management and scheduling appointments for team members and executives Provide exceptional customer service by responding promptly to inquiries via phone, email, or in person Proofread correspondence, reports, and other documents to ensure clarity and accuracy Coordinate office supplies procurement and manage inventory levels to support daily operations Handle clerical tasks such as photocopying, scanning, and maintaining office equipment Qualifications Proven experience in office management or administrative roles with a strong background in clerical support and customer service Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Canva, and productivity software Familiarity with QuickBooks or similar bookkeeping tools is preferred Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong typing skills with high accuracy; experience with data entry is essential Exceptional phone etiquette and communication skills Technical proficiency in office equipment such as, printers, scanners, and fax machines Demonstrated ability to multitask effectively while maintaining attention to detail and professionalism Personal assistant experience or experience supporting executives is beneficial Knowledge of research, filing systems, data entry processes, basic bookkkeeping practices, Canva, AI Join us in creating an energetic workplace where your organizational talents will shine!
