Position Summary The Front Office Assistant plays a crucial role in the practice's daily operations by supporting staff coordination and patient interactions to ensure smooth workflow and effective communication. This position involves assisting in staff development, managing patient relations, and contributing to community outreach and marketing efforts. The Front Office Assistant collaborates with the practice's leadership to implement and maintain efficient systems that align with the practice's goals. Additional responsibilities include managing front office tasks, assisting with strategic planning, and fostering a positive patient experience to enhance overall satisfaction and goodwill for the practice.
Requirements:
Front Office / Patient Coordination Greet and check in patients in a professional and welcoming manner, ensuring efficient check-in Schedule, confirm, and manage patient appointments Answer phone calls and respond to emails courteously and promptly Examine documents for missing information and update patient chart as necessary Accurately enter and update insurance information in patient records Educate patients about their insurance benefits and financial responsibilities Assist with preparing and printing claims Process pre-authorizations and update treatment plans Handle billing, co-pays, and other payments accurately Maintain and update patient records in compliance with HIPAA regulations Ensure the reception area is clean, well-organized, and presentable on a daily basis Monthly maintenance of coffee machine Check emails, faxes, and voicemails daily Assist with patient inquiries and provide information about dental services Assist in daily office coordination and communication between dental staff and patients Clinical Support Obtain patient vitals including blood pressure, height, and weight Assist with taking and processing dental and facial X-rays in accordance with practice protocols Accurately document all vitals and clinical data in the patient chart Qualifications High school diploma or equivalent required Previous dental office experience preferred but not required Strong knowledge of dental terminology and insurance billing procedures Excellent organizational, communication, and problem-solving skills Detail-oriented with the ability to manage multiple tasks efficiently Comfortable using dental practice management software (experience is a plus) Clear understanding of confidentiality and patient privacy regulations Experience obtaining patient vitals (blood pressure, height/weight) preferred Experience taking dental X-rays preferred; certification a plus Working Conditions / Physical Requirements Primarily in an office environment with a focus on administrative tasks Sitting 70-80% of the time Standing 20-30% of the time Frequent use of hands for typing, filing, and handling paperwork Close vision is necessary for reading documents, viewing billing statements, and using computer screens for extended period.
