This position plays a vital role in supporting daily office operations, staff coordination, client services, and administrative functions. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and committed to providing excellent customer service to families and employees. Responsibilities Answer and direct incoming phone calls, emails, and office inquiries. Assist with client intake processes and maintain accurate records. Support scheduling needs for therapy services, meetings, and office activities. Monitor and respond to administrative requests from staff and families. Maintain electronic and physical files while ensuring confidentiality. Assist with onboarding documentation and employee paperwork. Track compliance documents, certifications, and training requirements. Prepare reports, spreadsheets, and other administrative documents. Support billing, authorization tracking, and data entry as assigned. Maintain office organization, supplies, and general administrative support. Collaborate with management to ensure smooth day-to-day operations. Qualifications High school diploma required; Associate's or Bachelor's degree preferred. Minimum 1 year of administrative, office, customer service, or clerical experience. Strong organizational and time management skills. Excellent verbal and written communication abilities. Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace. Ability to handle confidential information professionally. Strong attention to detail and ability to work independently. Experience in healthcare, behavioral health, ABA, or medical office settings is preferred but not required. Preferred Characteristics Positive attitude and strong problem-solving skills. Ability to prioritize multiple tasks and meet deadlines. Team-oriented with a willingness to assist across departments. Comfortable learning new software systems and processes.
