As an Administrative Specialist, you'll play a critical role in keeping operations organized, supporting executive initiatives, coordinating projects, and helping drive company-wide engagement efforts. This role is ideal for a highly organized, resourceful professional who thrives in a fast-paced environment, enjoys supporting leadership, and takes pride in keeping projects and operations moving forward. What You'll Do Administrative & Office Operations Serve as a central administrative resource for the Corporate Office and leadership team Greet visitors, candidates, vendors, and staff in a professional and welcoming manner Coordinate conference room scheduling, setup, supplies, and meeting readiness Manage office supplies, vendor communication, and day-to-day office operations Coordinate calendars, meetings, travel arrangements, and administrative logistics Prepare meeting materials, take meeting notes, and distribute follow-up action items Maintain organized files, records, invoices, and confidential documentation Executive & Leadership Support Provide administrative support to executive and leadership team members Assist with scheduling, correspondence, presentations, reports, and spreadsheets Coordinate leadership meetings, agendas, and follow-up items Prioritize requests and assist with administrative workflow management Handle confidential and sensitive information with professionalism and discretion Special Projects & Conference Coordination Support strategic initiatives, special projects, and company-wide programs Assist with conference planning, outreach, logistics, travel coordination, and event preparation Track project timelines, deliverables, and follow-up items Coordinate vendor communications and event-related materials Support onsite event execution and post-event administrative follow-up Employee Engagement & Internal Communications Assist with employee recognition programs, internal events, and engagement initiatives Support company announcements, newsletters, and internal communications Coordinate catering, supplies, and logistics for meetings, trainings, and office events Contribute to culture-building and employee experience initiatives What We're Looking For Highly organized with exceptional attention to detail Strong ability to manage multiple priorities and shifting deadlines Professional, adaptable, and solution-oriented Excellent written and verbal communication skills Strong follow-through and project coordination abilities Comfortable working independently while collaborating across departments Able to maintain confidentiality and exercise sound judgment Preferred Qualifications Bachelor's degree strongly preferred. Experience supporting executives, leadership teams, or special projects Experience coordinating meetings, conferences, events, or company initiatives Healthcare, behavioral health, or mission-driven organization experience preferred Experience with Google Workspace, Asana, and project management tools Minimum Qualifications Bachelor's degree and 3-5 years of administrative, executive support, office operations, or project coordination experience preferred In lieu of a degree, a minimum of 4+ years of progressive administrative experience required Strong proficiency in Google Workspace and calendar management systems Excellent organizational, communication, and time-management skills Requirements Valid California Driver's License with a clean driving record CPR & First Aid certification required (or ability to obtain prior to start) Must pass Live Scan fingerprint clearance Must be legally authorized to work in the United States Physical Requirements Prolonged periods of sitting, standing, and working on a computer Occasional lifting of office supplies or materials up to 25 pounds Ability to move throughout an office environment and assist with event setup Compliance Employment is contingent upon: Successful Live Scan clearance Completion of required background screening and employment verification Compliance with DHCS, DSS, Joint Commission standards, HIPAA, and applicable California employment laws At Alter Behavioral Health, your role behind the scenes helps power everything we do — supporting teams, strengthening culture, and enabling exceptional care.
