High School diploma required Associate of Arts degree preferred Must meet all California Department of Education minimum criteria (criminal background check) Must be 21 years of age Meet all state licensing and insurance requirements Must pass a DOJ, FBI, and Child Abuse index clearance Valid California driver's license with minimum 2 years' driving experience required Good driving record: Department of Motor Vehicles printout required Must pass LIC 503 Health Screening Report and TB clearance
Knowledge of:
Microsoft Word and Excel Ability to: Possess good written and verbal communication skills. Possess good telephone and organizational skills. Understand general office practices, procedures, and equipment. Handle multiple tasks simultaneously. Communicate and work effectively with staff, administration, districts, and other stakeholders. Facilitate IEP process, information exchange, preparation, and scheduling for IEP meetings. Maintain composure when receiving and directing incoming calls. Maintain a courteous, professional manner in dealing with the general public, employees and students. Understand the functions of the various departments to facilitate the routing of incoming calls. Communicate effectively and quickly while performing duties. Maintain a courteous, professional manner in dealing with the public, employees, and students. Demonstrate trustworthiness and use discretion with regards to confidential information. Organize and file. Keep accurate records and update as needed/required. Be flexible with daily duties and responsibilities.
Essential Functions and Responsibilities:
Responsible for operating the SEIS (Special Education Information System) for all students. Track, coordinate, arrange, plan, and manage all IEP's and IEP schedule for students. Responsible for managing, safekeeping, and organizing Cumulative (CUM) Record Folders on all students, while adhering to all legal aspects regarding the CUM Folders. Record, track, and report attendance of all students. Responsible for coordination of ADA billing with corporate office. Record, track, and report lunch counts for all students. Responsible for test control, testing guidelines, proper handling of tests, and legal aspects of all state and county mandated tests to include: CAPA, STAR, CAT-6, etc. Open the office, unlock file cabinets, and retrieve messages from the answering machine. Greet and screen the public on the phone or in person and direct them to the appropriate person providing general information as needed. Log all calls, take accurate messages, and write duplicate memos when applicable. Prepare all school correspondence as requested, including annual applications for recertification, updating staffing and student lists, etc. Keep all filing current in student files. Monitor/order all school and office supplies. Process and distribute all BER and incident reports to appropriate location/personnel. Perform various recordkeeping tasks for the school. Communicate with Supervisor(s) regarding safety issues and seek guidance when necessary, pertaining to office operations. Other duties as assigned by Supervisor.
Physical Demands :
Must be able to bend at the waist, kneel, crouch, climb and balance. Must be able to read, write, and visually see clients. Must be able to hear with or without the use of hearing aid(s) sufficient to hear conversations with others, understandable voice and speech patterns. Must be able to physically operate office equipment sufficiently as needed. Must be able to sit, stand and/or walk for extended periods of time. Must have use of hands to handle and/or feel; reach with hands and arms.
