Summer Camp Administrative Assistant Expanded Learning Academy - Elk Grove Unified School District The Summer Camp Administrative Assistant is the right hand to the District Director, keeping the program organized, compliant, and running smoothly behind the scenes. This is a fast-paced, highly varied role for someone who thrives on flexibility, stays positive under pressure, and takes pride in being the person who makes everything else possible. Reports To District Director Hours/Schedule This is a full-time, 40-hour-a-week position. In addition, all administration positions attend all program events, trainings, and meetings. Who We Are Looking For An exceptionally organized, detail-driven professional who keeps multiple moving pieces on track at once Someone with incredible flexibility - able to shift priorities quickly and take on whatever the day requires A genuinely positive presence who brings energy, warmth, and a can-do attitude to the team every day A trustworthy partner who handles confidential staff, payroll, and compliance information with discretion A proactive self-starter who anticipates needs, follows through, and closes loops without being asked A strong communicator who is comfortable supporting staff at every level, from coaches to site directors Someone who works in busy, loud environments with total comfort Minimum Qualifications Bachelor's degree with a focus (35+ units) in Child Development, Early Childhood Education (ECE), Recreation, Education, or a related field At least 2 years of classroom-based teaching experience Experience with lesson planning and curriculum development Experience with payroll support Excellent interpersonal skills and organization, with the ability to build relationships and communicate effectively with diverse audiences Demonstrated flexibility and a consistently positive attitude, dependability (attendance and promptness), and conduct demonstrating honesty, integrity, and grace in all situations Current Mandated Reporter certification Current Pediatric CPR and First Aid certification (or willingness to obtain) Proficiency in the Microsoft Office suite and other relevant software applications Must be Drug and Alcohol Free Must have reliable transportation Preferred Additional Qualifications Prior administrative or operations experience in an education or after-school program Experience with onboarding, offboarding, or HR documentation Familiarity with EGUSD and/or Expanded Learning program policies and procedures Experience coordinating supplies, purchasing, or vendor logistics Position Summary The Administrative Assistant works directly alongside the District Director to support the day-to-day operations of the Expanded Learning Academy summer camp program. The role spans compliance, payroll, staffing, supplies, curriculum, and communication - wherever support is needed to keep the program organized and on track across all sites.
Non-Negotiable Tasks:
(not limited to but includes) Maintain strict confidentiality of all staff, payroll, and compliance information. Must know and uphold all EGUSD and Expanded Learning Academy criteria, including health, safety, supervision, and required reporting functions. Must actively support and reinforce all laws and policies regarding staff conduct, hours, timekeeping, and payroll. Must respond to shifting priorities with flexibility, accuracy, and a positive attitude. Role Responsibilities Strong computer skills and experience with Google and Microsoft products.
Compliance support:
conduct compliance checks and help ensure all staff certifications, documentation, and program records are current and accurate. Support campus information documents and processes.
Payroll support:
assist the District Director with payroll processing, timekeeping accuracy, and related record-keeping.
Onboarding and offboarding:
coordinate the onboarding of new staff and the offboarding of departing staff, including paperwork, certifications, and documentation.
Supply shopping:
purchase, track, and distribute program supplies across sites, keeping expenses in compliance with ELA purchasing procedures.
Lesson plan support:
assist with the development and organization of lesson plans and curriculum materials.
Email and communication management:
manage and organize incoming communications, draft and route correspondence, and help keep the District Director's inbox current.
Site director support:
support site directors with staffing needs, coverage, and day-to-day coordination.
General administrative support:
provide additional administrative assistance to the District Director as needed. Classroom support as needed. Expanded Learning Academy is an equal opportunity employer. All qualified applicants will receive consideration for employment.
