Job Description

Position Type:

Pay:
$23-$25/hr About the Role Are you a sharp, proactive administrative professional who thrives in a fast-paced environment? We are seeking a highly organized Department Administrator to support a senior leader and their cross-functional team within a premier, lean automotive logistics operation. Our facility serves as a vital distribution hub supplying parts to a major dealership network while overseeing a third-party logistics (3PL) partner. The ideal candidate works independently, exercises sound judgment, and remains composed while managing competing priorities.
Key Responsibilities Calendar & Travel Management:
Actively manage complex calendars, resolve scheduling conflicts, and coordinate domestic and international travel.
Executive & Team Support:
Prepare correspondence, high-level presentations, and reports. Track key deliverables, take meeting minutes, and ensure actionable follow-ups.
Financial Admin:
Manage expense reporting, reconciliation, and invoice processing with high data accuracy.
Event Planning:
Organize internal and external meetings, offsites, vendor/dealer events, and support operational business planning cycles.
Project Assistance:
Track project timelines, identify workflow inefficiencies, and provide ad-hoc support across Operations, Finance, and IT.
Qualifications Experience:
3-5+ years of administrative or department support experience (preferably supporting leadership or cross-functional teams).
Skills:
Expert proficiency in MS Office (Word, Excel, PowerPoint, Outlook). Exceptional written and verbal communication.
Traits:
Highly discreet with sensitive data, organized, and solutions-oriented with minimal supervision required. Preferred (Plus) Factors Experience working within an automotive, supply chain, or warehousing environment. Familiarity with Warehouse Management Systems (WMS) or project management tools.
