In this vital role, you will serve as the backbone of our office operations, providing exceptional administrative support to ensure smooth daily functions. Your energetic approach and attention to detail will help foster an efficient work environment, supporting both internal teams and external clients. This paid position offers an exciting opportunity to develop your skills in office management, customer service, and clerical tasks while contributing to a positive and productive workplace culture. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth. String Customer service skills required. Handle multi-line phone systems, answering inquiries promptly and routing calls accurately using excellent phone etiquette Perform data entry and maintain organized filing systems, ensuring all records are accurate and easily accessible Support calendar management by scheduling appointments, meetings, and coordinating events efficiently Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Provide exceptional customer service by addressing client needs, supporting inquiries, and offering support via phone or email Prepare correspondence, proofread documents for accuracy, and ensure all communications are clear and professional Support office management activities including supply ordering, inventory tracking, and maintaining office equipment Qualifications Proven experience in office administration or clerical roles with a strong background in office management Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong typing skills with high accuracy; familiarity with data entry processes Bilingual abilities are highly desirable to assist diverse client needs Experience with multi-line phone systems, calendar management, and customer support is preferred Knowledge of QuickBooks or bookkeeping experience is a plus Exceptional communication skills including phone etiquette and proofreading abilities Demonstrated ability to handle confidential information discreetly and professionally Join us as an Administrative Assistant where your enthusiasm for organization and customer service will make a meaningful impact!
