Job Description

Our client, a growing real estate investment and development firm , is seeking a highly organized and proactive Administrative Assistant to support their team with day-to-day office operations. This role is ideal for someone who enjoys keeping things organized, managing multiple priorities, and providing high-level administrative support in a fast-paced environment. Key Responsibilities Provide administrative support to leadership and the broader team Manage calendars, schedule meetings, and coordinate appointments Assist with preparation of reports, presentations, and internal documentation Maintain organized digital and physical filing systems for property and company records Support transaction and property documentation including leases, contracts, and vendor agreements Coordinate office logistics including supplies, mail, and general office organization Communicate with vendors, tenants, and internal teams as needed Assist with data entry, spreadsheets, and reporting related to properties and projects Support special projects and general office initiatives as assigned Qualifications 2+ years of administrative or office support experience Strong organizational skills and attention to detail Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Excel, Word, Outlook) Ability to prioritize tasks and manage multiple deadlines Professional, proactive, and team-oriented mindset Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
