Office Assistant Job Description Oversee and coordinate day-to-day office operations to ensure smooth workflow and efficiency. Manage general administrative tasks, including phone inquiries, email correspondence, calendar scheduling, and office supply inventory. Maintain a clean, organized, and professional office environment. Support new hire onboarding logistics, including workstation setup and account provisioning. Coordinate internal meetings and company events, including scheduling, logistics, and catering. Act as the primary liaison with building management and external vendors for office services and maintenance. Prepare and format reports, presentations, and internal communications. Ensure adherence to company policies and administrative procedures. Provide administrative support to leadership as needed and assist with special projects. Essential Skills 1-2 years of experience in office administration or a similar role; less experience acceptable with a degree. Strong organizational skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Ability to work independently and collaboratively in a team environment. High attention to detail and problem-solving capability. Additional Skills & Qualifications Experience with customer service and administrative assistance. Familiarity with clerical tasks and data entry. Work Environment The position is 100% onsite, Monday to Friday, from 8:30 AM to 5:30 PM, with a 1-hour lunch break. Reporting directly to HR, the office assistant will greet visitors and sit close to the front, although there is not heavy foot traffic. The work environment emphasizes the need for a presentable and friendly individual who is detail-oriented and capable of working under minimal supervision. The HR Director supports career growth, advocating for employees interested in advancing within the company. The office space is very nice, located next to a renewable energy company focused on large-scale energy infrastructure projects. Job Type & Location This is a Contract to Hire position based out of Irvine, CA. Pay and Benefits The pay range for this position is $25.00 - $26.00/hr.
