About The Youth Project The Youth Project is a California nonprofit organization partnering with school communities across Monterey County through ELO-P (Expanded Learning Opportunities Program) and ASES (After School Education and Safety) expanded learning programs. We deliver year-round programming, including after-school and seasonal programs throughout summer, fall, winter, and spring, focused on academic support, enrichment, sports, and leadership development, serving students from diverse backgrounds.

Position Summary The Administrative Assistant provides front-line operational coverage for The Youth Project's office and program sites. This is a part-time support position designed to ensure consistent staffing presence during posted office hours and at program check-in and check-out windows. The role is workload-light, presence-critical: when the position is on duty, parents, staff, vendors, and visitors have someone available to receive them, route inquiries, and complete routine administrative tasks. Essential Duties and Responsibilities Office Coverage
  • Maintain staffed presence at the TYP office during assigned hours, particularly when other staff are off-site at program locations.
  • Receive and route incoming phone calls, walk-ins, mail, and deliveries.
  • Respond to general parent and community inquiries; route program-specific or clinical questions to the appropriate team member.
  • Maintain a tidy, professional reception area. Program Site Coverage
  • Provide check-in and check-out support at TYP summer camp and program sites during posted parent- facing windows.
  • Verify authorized pick-up persons against approved rosters; document any exceptions per program protocol.
  • Maintain availability at the check-in/check-out area during scheduled coverage shifts, including periods when program activity is paused. Administrative Support
  • Complete routine clerical tasks: filing, scanning, basic data entry, photocopying, supply tracking.
  • Support distribution and collection of parent forms, consents, and communications.
  • Assist with mailings, packet assembly, and basic inventory of office and program supplies.
  • Perform other administrative duties as assigned by the Chief Operating Officer or designee. Minimum Qualifications
  • High school diploma or equivalent.
  • Reliable, punctual, and professional demeanor in a public-facing role.
  • Basic proficiency with email, common office software, and standard office equipment.
  • Ability to follow written and verbal instructions, ask clarifying questions, and complete tasks without close supervision.
  • Ability to pass required background clearances for work with minors, including a Department of Justice and FBI Live Scan and a TB clearance.
  • Mandated reporter training (CANRA) completion within the first 30 days of hire. Preferred Qualifications
  • Prior front-desk, clerical, or customer-service experience.
  • Bilingual English/Spanish — written and verbal.
  • Familiarity with youth-serving programs, schools, or community-based organizations.
  • Comfort with light technology setup: scanning, printing, basic spreadsheet entry. Schedule and Physical Requirements
  • 25 scheduled hours per week, distributed across office coverage and program site coverage as needed by Operations.
  • Schedule may include morning check-in windows, mid-day office coverage, and afternoon check-out windows.
  • Ability to remain stationary at a reception desk or check-in table for extended periods.
  • Ability to lift up to 25 pounds occasionally (supplies, packets, light deliveries).
Compensation This position is paid hourly per the Administrative Assistant Pay Scale ratified by the TYP Board of Directors.

The full scale and placement criteria are maintained in the TYP Compensation Report. Supervision and Accountability This position reports directly to the Chief Operating Officer. Day-to-day task direction may be delegated to site coordinator. All scheduling, performance feedback, and corrective action decisions remain with the Program Director . Pay:
$16.90 - $18.50 per hour
