Full Job Description Position Summary:
The Administrative Specialist provides operational, accounting, and administrative support to the Credit Union and CEO in a collaborative small credit union environment. This role supports the integrity of financial data, assists with financial reporting and operational processes, and helps maintain adherence to applicable banking regulations and accounting standards. The position also supports the CEO with Board reporting and contributes to operational efficiency across the organization.
Essential Duties and Responsibilities:
Maintain the general ledger and ensure accuracy and completeness of financial records. Prepare and post journal entries, including month-end and year-end adjustments. Perform and review account reconciliations; investigate and resolve discrepancies. Manage accounts payable, accounts receivable, and daily accounting transactions. Process and reconcile payroll, including taxes and retirement contributions. Prepare monthly financial statements and internal management reports. Analyze variances and fluctuations in balance sheet and income statement accounts, providing clear explanations. Coordinate the annual audit process and prepare required documentation. Maintain compliance with accounting principles, internal controls, and credit union policies. Assist with cash management activities, including wire transfers and investment tracking. Monitor liquidity and ensure proper recording of investment activity and maturities. Support ACH processing, share draft exceptions, and related reconciliations. Ensure accuracy of automated processes and internal systems supporting accounting and financial operations. Assist the CEO in preparing Board packets, financial presentations, and supporting materials. Provide financial reporting support for the Supervisory Committee and Board-related activities. Support organizational initiatives and administrative needs as required. Required Qualifications Minimum of three (3) years of accounting experience within a financial institution or credit union. Strong knowledge of accounting principles, financial reporting, and internal controls. Familiarity with NCUA regulations and reporting requirements. Proficiency with accounting and financial systems; strong Microsoft Excel and Word skills. Preferred Qualifications Bachelor's degree in accounting, Finance, or related field. Credit union operations experience preferred. Experience assisting with audits, examinations, or compliance activities. Familiarity with core processing systems and operational procedures. Work Environment This position operates in a collaborative small credit union environment requiring flexibility, adaptability, confidentiality, and a willingness to assist across multiple operational areas. Due to UDCU's size, employees may support a variety of operational and administrative functions as business needs to evolve. Reporting Structure Reports directly to the Chief Executive Officer.
Compensation Range Expected Hiring Range:
