This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess a passion for maintaining a smooth and professional office environment. In this role, you will serve as the first point of contact for visitors and callers, manage administrative tasks with precision, and contribute to the overall success of our organization through effective office management. Responsibilities Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, directing calls efficiently and courteously while practicing excellent phone etiquette. Handle data entry, filing, and document proofreading to maintain accurate records and support administrative processes. Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management. Coordinate calendar management and appointment scheduling for staff members, including personal assistant duties as needed. Perform basic bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking. Support office management activities such as supply ordering, maintaining cleanliness, and organizing files for easy access. Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone or email. Assist with clerical tasks related to medical or dental receptionist duties if applicable, including patient or client check-in procedures. Maintain a well-organized workspace by managing filing systems and ensuring all documents are up-to-date. Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Bilingual abilities are highly desirable to communicate with diverse clients and team members. Proven experience in office management or administrative roles with a focus on clerical support and customer service excellence. Familiarity with multi-line phone systems, phone etiquette, and front desk operations. Experience with bookkeeping using QuickBooks or similar financial software is a plus. Exceptional proofreading skills to ensure accuracy in all written communications. Strong time management skills to handle multiple responsibilities efficiently while meeting deadlines. Personal assistant experience or calendar management skills to coordinate schedules seamlessly. Knowledge of medical or dental receptionist procedures is advantageous but not required.
