Role:
We are seeking an experienced Administrative Specialist II to provide advanced administrative and operational support for a large healthcare organization in Pasadena. This is a high‑visibility role supporting leadership with scheduling, meeting coordination, presentations, confidential documentation, and special projects. The ideal candidate is proactive, detail‑oriented, and comfortable working independently in a fast‑paced environment.
Job Title:
Administrative Specialist II (Healthcare) -
Hybrid Pay:
$24-$26/hour
Schedule:
  • Full‑time, Monday-Friday
  • 7:30am-4:00pm or 8:00am-4:30pm
  • Onsite in Pasadena with potential for 1-2 remote days/week after probation
Key Responsibilities:
  • Provide advanced administrative support to management and leadership
  • Coordinate and schedule meetings; manage complex calendars
  • Prepare agendas, reports, presentations, and meeting materials
  • Take meeting minutes and follow up on action items
  • Support special projects and ad‑hoc reporting
  • Handle confidential and sensitive information with discretion
  • Maintain files, records, and departmental documentation
  • Communicate professionally with all levels of internal and external stakeholders
Required Qualifications:
  • 3+ years of administrative or executive support experience
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
  • Experience supporting presentations and meeting materials
  • Excellent calendaring, scheduling, and coordination skills
  • Strong written and verbal communication
  • Ability to work independently and take ownership of tasks
  • Professional demeanor and strong attention to detail
Preferred:
  • Experience supporting senior leadership or executives
  • Healthcare or large enterprise environment experience
  • 4‑year degree (preferred, not required)
Additional Information:
  • Long‑term contract (9-12 months) with potential extension or conversion
  • Hybrid flexibility after probation period
  • Drug screen, background check, and education verification required
Pay:
$24.00 - $26.00 per hour
