The ideal candidate will handle a variety of daily administrative tasks and play a key role in our financial operations. To excel in this role, you must be fully bilingual in both English and Spanish and possess strong proficiency in QuickBooks to manage our construction invoicing, project expenses, and job tracking.
Core Responsibilities:
Accounting & Data Entry:
Manage daily bookkeeping tasks using QuickBooks, including processing invoices, entering vendor bills, and recording client payments. •
Bilingual Communication:
Serve as the primary point of contact for Spanish-speaking and English-speaking subcontractors, field crews, suppliers, and clients. •
Job Costing Support:
Track materials, labor expenses, and purchase orders against specific framing projects to ensure accurate job profitability tracking. •
Administrative Assistance:
Answer phone calls, manage the company email, organize physical and digital files, and sort incoming mail. •
Document Coordination:
Work orders, lien waivers, certificates of insurance (COI), and safety compliance forms.
Required Skills & Qualifications:
QuickBooks Experience:
Minimum of [1-2] years of hands-on experience using QuickBooks Online or QuickBooks Desktop. •
Language Proficiency:
Full professional fluency in both English and Spanish (written and verbal communication). •
Industry Familiarity:
Prior experience working in a construction, trades, or framing office environment is highly preferred. •
Technical Skills:
Strong proficiency in Microsoft Office (Word, Excel) and Google Workspace. •
Organization:
Exceptional attention to detail with the ability to multitask in a fast-paced environment.
Pay:
From $25.00 per hour
