Responsibilities Greet visitors and manage the front desk with professional phone etiquette, multi-line phone systems, and courteous customer support. Handle incoming calls, direct inquiries efficiently, and manage appointment scheduling using calendar management tools. Perform data entry, filing, and document proofreading to maintain accurate records and organized files. Utilize office management software such as Microsoft Office, Outlook, Excel and QuickBooks for administrative tasks including invoicing and payments received. Support office operations by managing supplies, coordinating mail distribution, and assisting with general clerical duties like photocopying and scanning. Provide excellent customer service by addressing questions promptly and assisting clients or patients as needed. Maintain a tidy reception area and ensure all office equipment is functioning properly for optimal productivity. Qualifications Proven experience in an office environment or administrative role with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with QuickBooks or similar bookkeeping software is a plus. Excellent communication skills with strong phone etiquette; bilingual abilities are highly desirable. Ability to handle multiple tasks efficiently while demonstrating time management skills.
