Overview We are seeking a dynamic and highly organized Secretary to join our team! Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with excellent phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly. Perform data entry, maintain filing systems, and organize documents with precision using Microsoft Office, Google Workspace, and other office software. Assist with calendar management and appointment scheduling for executives or team members. Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entry to ensure accurate financial records. Provide exceptional customer support by addressing inquiries, offering information, and resolving issues professionally. Handle administrative tasks including proofreading documents, managing office supplies, and supporting office management activities to keep operations running smoothly. Skills Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Excellent typing speed and data entry accuracy for efficient record keeping. Knowledge of QuickBooks for bookkeeping and basic financial management. Bilingual abilities are highly desirable to serve diverse client needs effectively. Strong phone etiquette with experience managing multi-line phone systems in busy environments. Exceptional time management skills to prioritize tasks efficiently and meet deadlines. Previous experience as a dental or medical receptionist is a plus, demonstrating familiarity with healthcare environments. Personal assistant or office management experience that showcases multitasking capabilities.
