About the
Role:
We are seeking an experienced Administrative Assistant to support multiple HOA (Homeowners Association) Managers in our Roseville office. This is a great opportunity for a detail-oriented, organized professional who thrives in a fast-paced environment and enjoys helping a team stay on top of competing priorities.
Responsibilities:
Provide administrative support to multiple HOA Managers simultaneously. Answer and route incoming calls and emails from homeowners, board members, and vendors Prepare, format, and distribute correspondence, notices, and meeting materials Schedule and coordinate board meetings, annual meetings, and site visits Maintain accurate and organized records for multiple HOA communities Assist with preparing agendas, meeting minutes, and board packets Process work orders, violation notices, and architectural requests Track deadlines for assessments, contracts, and compliance filings Maintain homeowner and association databases, ensuring information is current Assist with mailings, including annual disclosures and meeting notices Coordinate with vendors and contractors as needed Provide backup support and coverage for other administrative staff as needed Perform other administrative duties as assigned Qualifications Minimum 1-2 years of administrative experience; HOA or property management experience strongly preferred Strong organizational skills with the ability to manage multiple managers' priorities at once Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) required; experience with HOA software, Zoom, and AI is a plus. Strong attention to detail and accuracy Ability to multitask and prioritize in a deadline-driven environment Professional demeanor when interacting with homeowners and board members High school diploma or equivalent required; some college coursework a plus
Pay:
$23.00 - $29.95 per hour
