In this role, you'll support our project managers, foremen, and office staff by helping keep jobs organized and on track. That means handling paperwork, tracking submittals and RFIs, keeping records up to date, and making sure nothing falls through the cracks. We work on residential and commercial projects across the Salinas Valley, Bay Area, and SLO region, so juggling multiple tasks and staying organized is key. We're looking for someone who's dependable, communicates well, and wants to be part of a company. Key Responsibilities Assist in setting up new projects by gathering contracts, permits, insurance certificates, and required forms. Create and maintain organized digital and physical project folders for easy access to all critical documents. Input and update job info across project tracking platforms, spreadsheets, or management software. Prepare, track, and submit submittals and RFIs; follow up with vendors and general contractors as needed. Maintain accurate logs for submittals, RFIs, change orders, and material deliveries. Help ensure timely responses and approvals to avoid project delays. Support foremen and field crews with paperwork, schedules, and material requests. Coordinate with purchasing to confirm orders, lead times, and delivery tracking. Assist in verifying field material receipts and updating order logs. Schedule project meetings, track milestones, and send out reminders or updates as needed. Distribute meeting minutes and ensure follow-up on action items. Act as a communication bridge between project management, field crews, office staff, and general contractors. Track and file certified payroll reports, prevailing wage documentation, and project-specific labor compliance forms (especially for public works). Maintain updated COIs and ensure documentation is current and complete. Assist with preparing and organizing project closeout documents, including as-builts, warranties, O&M manuals, and final invoices. Ensure final packages meet general contractor or client requirements before submission. Help maintain accurate and current job records. Support the PM with job cost tracking, reporting, and budget-related updates. Jump in to help other admins and team members as needed — we're a team-first company. Requirements Associate's Degree or higher in Construction Management or Business Administration; students currently enrolled and nearing graduation will also be considered. Proficient in Microsoft Word, Excel, and Outlook. Comfortable working with digital files and cloud systems (e.g., Dropbox, SharePoint). Experience with software like Procore, Bluebeam, or QuickBooks is helpful. Strong written and verbal communication skills. Detail-oriented with the ability to multitask and manage several projects at once. Self-motivated, dependable, and able to meet deadlines with minimal supervision. Bilingual (English/Spanish) is a plus. Familiar with submittals, RFIs, change orders, POs, and construction schedules. Knowledge of public works requirements or union paperwork is a bonus.
