Non-Exempt SUMMARY:
Support DOT Compliance, Commercial Drivers, and Equipment Status/Inventory of the company. Must be efficient and extremely organized. Responsible for organizing, processing, and filing information pertaining to the general operations of the company and DOT regulations. Provide administrative support to department, assist other staff members as directed. Bi-lingual/Bi-Literate English/Spanish
REQUIRED. WORK PROCESS
Maintain Driver Qualification (DQ) files for all commercial company drivers and files for non-commercial drivers Onboard new drivers following the required steps including driver training, commercial and non-commercial Verify that commercial drivers are complying with the Federal Motor Carrier Safety Administration (FMCSA) and California Highway Patrol (CHP) laws and correctly reporting driver's hours-of-service (HOS) Process and maintain records for all transactions with California and Arizona IRP (apportion Licensing and PFR) and each state's Department of Motor Vehicles to ensure that all renewals are timely and apportionment schedules are filed Maintain all files with insurance carrier/agent to ensure that vehicles and authorized drivers have current insurance information Maintain listing of all in house equipment, owned and leased Compile IFTA information for quarterly IFTA filings Support DOT Manager and group with various DOT obligations as assigned
QUALIFICATIONS
Basic knowledge of DOT regulations. Excellent written and verbal communication skills. Must be proficient in Microsoft Office, i.e. Word, Excel; l 0-key by touch. Exceptional organization skills and detail oriented are required. Must be able to multi-task in fast paced environment. Must be self-directed and motivated. Possess a valid CA license and satisfactory driving record.
EDUCATION/EXPERIENCE AA
degree or higher, and three years' experience with DOT regulation, office administration systems, agricultural preferred, that would provide the level of knowledge and ability required for the position.
LANGUAGE SKILLS
Proficiency in English and Spanish.
MATHEMATICAL SKILLS
Strong analytical/numbers capabilities and problem-solving capabilities.
PHYSICAL DEMANDS
Sitting and standing for prolonged periods. Light to moderate lifting (up to 40 pounds). Reaching, stooping, pulling, pushing and manual dexterity. Operating a computer, calculator, copier, fax, involves repetitive hand arm movement. Entering data by touch requires the ability to hear computer alarms for errors.
WORK ENVIRONMENT
Must be able to handle multi-tasks and work in a fast -paced environment with frequent interruptions. Must be able to deal politely with outside customers and vendors. Communication with other staff members involves making contact orally via the telephone, radio, or in person. Overtime, 25% travel, and some Saturday work may be necessary.
