The California Department of Transportation (Caltrans) is seeking to hire a student assistant in a learning capacity, to work under the close supervision by Supervisor I. In a learning capacity, the student assistant will assist in a wide variety of clerical and non-engineering work in an office setting. The student assistant will also assist the administration staff in the Contract Services Unit to ensure contractors are in compliance with the contract documents. This position will also assist with coordinating the management of project files in accordance with the Records Retention Schedule, departmental policy directives, and best practices. This includes timely purging of outdated records, maintaining records in an accessible format, and ensuring records are easily retrievable. Conditions of Employment This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. - In a learning capacity, the student assistant will learn and assist with coordinating the management of project files in accordance with the Records Retention Schedule, departmental policy directives, and best practices.
This includes timely purging of outdated records, maintaining records in an accessible format, and ensuring records are easily retrievable. The incumbent also assist with coordination of the transport of records from field offices to the construction office and to the designated record storage room. Assist with overseeing updates to the Division of Construction Records Retention Schedule, notifying affected staff of any changes to retention processes and procedures; assist with transfer of files to the District Records Officer in Map Files. Additionally, the incumbent assist with reviews and verification of required documents in archived project files stored in the Department's electronic document management system, FalconDMS, ensuring proper tracking and organization of all project documentation. 25%
