Job Responsibilities
  • Greet and attend to patients in person and over the phone.
  • Professionally assist doctors, staff, visitors, and patients.
  • Maintain business inventory and checking supplies.
  • Answer all phone calls in a professional and courteous manner.
  • Perform all duties within HIPAA regulations.
  • Schedule appointments between doctors and patients.
  • Verify all demographic information is up to date at time of appointment.
  • Obtain for authorization for follow up patients when needed.
  • Route faxes and scans to appropriate patient chart.
  • Confirm interpreters for appointment
  • Send appointment reminders
  • Process reports and send to all associated parties.
  • Receive new patient referral from assigned folder
  • Verify if patient has been seen in office prior
  • Create patients' chart, adding demos and insurance information, adjuster, attorneys, referring MD.
  • Ensures authorization and prior records are received.
  • Enter new patient referral in electronic medical records system.
  • Requests any additional information needed from referring provider if not in the patient's chart, such as progress notes, labs, radiology, etc.
  • Work with clinic staff, front office supervisor, office manager as needed to appropriately schedule the patient.
  • Call the patient to schedule the appointment
  • Once appointment is scheduled, provide the patient an overview of what to expect on their first visit
  • Ensure patient is setup to complete new patient paperwork, review current demographics, make any necessary changes
  • Walk the patient through the Telehealth Process for virtual visits
  • Monitor "no shows"/cancellations for appointments and work to reschedule - Conduct follow-up calls with research study participants to ensure continued engagement and data collection.
