Administrator About the Position We are seeking a highly organized, detail-oriented Clerical Assistant Staffer to support our administrative and clinical teams in a fast-paced Physical Therapy staffing environment. This role is essential to maintaining the accuracy, efficiency, and compliance of our daily operations. As the first point of contact for many patients and providers, you will ensure smooth coordination between the front office, clinicians, referral sources, and patients. The ideal candidate is proactive, efficient, and able to manage multiple priorities while maintaining a high standard of accuracy and professionalism. Primary ResponsibilitiesAdministrative & Office Support Perform accurate and timely data entry into Electronic Medical Record (EMR) systems, including agencies information, patient demographics, insurance details, referrals, and visit documentation. Maintain and update patient and agency records in compliance with HIPAA and regulatory guidelines. File, organize, and archive clinical and administrative documents for easy retrieval and audit readiness. Prepare, scan, and index incoming documents into the EMR system. Staff all the visit and communicate with therapists and agencies. Patient & Clinical Scheduling Schedule and confirm patient visits in coordination with clinical staff availability and patient needs. Monitor scheduling changes and proactively resolve conflicts or last-minute cancellations. Maintain up-to-date calendars for field therapists, and other clinicians. Maintain up-to-date credentials and documentation for field therapists, and other clinicians Communication & Coordination Answer and route incoming calls professionally and courteously; respond to inquiries from patients, family members, physicians, and referral sources. Coordinate communication between referral sources, case managers, and clinical staff to support continuity of care. Communicate with insurance companies regarding authorization requests and documentation requirements. Compliance & Documentation Management Ensure all patient documentation is completed, signed, and submitted within agency timeframes. Track and follow up on outstanding physician orders, plans of care, and visit notes. Assist in maintaining compliance logs and reports required for state and federal home health regulations. Billing & Insurance Support Verify insurance eligibility and benefits at the time of referral or admission. Assist with collecting required documentation to support billing and authorization processes. Follow up with clinicians on documentation necessary for reimbursement and compliance. Office & Supply Management Monitor and order office supplies, patient forms as needed. Ensure common areas and front desk spaces are organized and stocked. Assist with preparing materials for staff meetings, orientation packets, or audits. Qualifications High school diploma or equivalent required; additional coursework or certification in healthcare administration is a plus. Minimum of 1 year of clerical or administrative experience; health care or staffing setting preferred . Proficiency with Microsoft Office (Word, Excel, Outlook) and experience with EMR systems (DeVero) Strong written and verbal communication skills. Exceptional attention to detail, time management, and follow-through. Ability to work independently and as part of a team in a deadline-driven, regulated environment. Knowledge of HIPAA compliance and basic medical terminology is highly desirable. Preferred Qualities You are dependable, punctual, and take initiative to solve problems.
