We have completed thousands of projects as the general contractor working for developers, state agencies, and municipalities. Independent Construction Company is seeking qualified applicants for an Office Assistant position to support the daily operations of our Sothern California regional office located in Valencia, CA. The ideal candidate is organized and possesses strong time management skills. This position is responsible for clerical duties, administrative and HR support, and other routine operations at the front desk. Office Assistant Responsibilities:
  • Manage all incoming and outgoing mail and deliveries.
  • Receive, sort, and re-distribute all incoming filed documents.
  • Maintain weekly paycheck distribution.
  • Maintain the cleanliness and organization of the office, ensuring supplies are stocked and equipment is functioning properly.
  • Onboard field employees, including drug screens, and DOT procedures as needed.
  • Assist Field Safety Coordinator with field onboarding as needed,
  • Coordinate with the Human Resources Department to prepare new hire packets and training documents.
  • Data entry and upload as needed directed by the area manager.
  • Travel to job sites may be required.
Qualifications:
  • Possess strong organizational and time management skills.
  • Excellent verbal and written communication skills
  • Ability to multitask and prioritize within time constraints.
  • Ability to work independently under limited supervision and in a team environment.
  • Ability to interact with employees, customers, and vendors in a professional manner.
  • Reliable, well organized, detail oriented.
  • Ability to be a self-starter and be able to multitask.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to communicate effectively both orally and written.
Education/Work Experience:
  • High School diploma or equivalent required; some college or administrative coursework preferred.
  • Office Administration preferred
  • Proficient in Microsoft Office including Word, Excel & Teams.
  • Basic Human Resources and personnel onboarding knowledge is a plus.
Additional Requirements:
  • Valid CA Driver's License & Clean Motor Vehicle Record
  • Full time position Monday-Friday 8:00
  • 5:00 pm or part time 8:00 am to 2:00 pm as a set schedule
  • Company conducts post-offer, pre-employment drug screening.
Additional Information and Physical Requirements:
  • Ability to lift and carry 10-20 pounds occasionally.
  • Ability to sit for extended periods of time, stoop, kneel, crouch, reach, finger, grasp, write, and perform repetitive motions.
  • Hearing and speaking ability sufficient to carry on a conversation with another individual (or groups of individuals) in person and over the telephone.
  • There may be moderate physical work in the handling of supplies, files, and driving.
  • Visual ability sufficient to read and produce printed material and information displayed on a computer screen.
Visual ability sufficient to read and comprehend traffic signs, signals and safety warnings and precautions.
