You will engage with civil service staff, other Corpsmembers, and members of the public who rely upon the CCC's administrative services to successfully carry out, benefit from, or interact with the CCC program. This position aims to provide training and experience to help meet the minimum qualifications for administrative classifications such as Office Technician and Management Services Technician. To help you prepare for these positions, you will engage in a number of activities and be offered hands-on and structured training opportunities in a variety of administrative skills. Skills to be Learned, include, but are not limited to, the following: Effective Office Communication Answering phone calls, taking messages, and directing inquiries to the appropriate personnel Organizing, scheduling and coordinating meetings, as well as preparing documents or materials in advance of and following meetings (e.g., agendas and minutes) Greeting and notifying appropriate staff of visitors Providing customer service Drafting correspondence Maintaining confidentiality when necessary Collaborating with others Build professional relationships with your team Administrative Support Learn and practice typing, dictation and transcription Mail and document handling Filing and records management Document preparation and review Composition of correspondence Oral communications Statistical and other record keeping Cashiering Ordering and maintaining supplies and equipment Supply and Material Management Inspecting equipment for maintenance issues Monitoring, and drafting orders for supplies Troubleshooting basic office equipment issues Developing organizational systems, procedures, and/or forms Engage with Business Services and Information Systems Services (ISS) to learn and practice proper procurement practices of IT and non-IT office products. Time Management Setting and sticking to a schedule, tracking time and accomplishments Identifying areas for, and implementing strategies that lead to, personal and/or organizational improvement and efficiencies Computer Competency Preparing and processing of office documents, engaging in data entry and report generation, and creating visual representations that showcase reports and/or support trainings Taking online trainings on Microsoft Office suite of programs Learn about processes, systems and tools such as C³, CalTravelStore, CalATERS, submitting help tickets to the Information Systems Branch, Tempo Timekeeping, etc. Strengthen computer typing speed and accuracy
