Administrative Assistant Beer Financial Group - 3.7 Santa Monica, CA Job Details Part-time $20 - $25 an hour 8 hours ago Qualifications Microsoft Office Attention to detail Life & Health Insurance License Time management Full Job Description Managing Director Assistant Overall Function The Managing Director's assistant specializes in client service to ensure the maintenance of an efficient, organized office that allows the Managing Director to focus his/her energy on building client relationships as well as recruiting and development for the district office. The assistant is a liaison between the home office, Managing Director, network office support team and clients. Specific responsibilities may include but are not limited to: Support Maintain Managing Director's calendar and schedule follow-up appointments (Clients, Quarterly Leadership Meetings, Under 5 Financial Representatives) Answer telephone calls and direct them as appropriate Contact clients to confirm receipt of forms or request return of completed forms Maintain current client information for all product lines Communicate with home office as needed to supply or obtain information Send client birthday cards and schedule birthday/age change appointments for the Managing Director Order all food for Santa Monica breakfast and lunch meetings (Weekly Breakfast, Financial Planning Academy (FPA)) Shared Logs - Process investment checks including variable into the Santa Monica shared log system and then forwards to OSJ office. Client Service Support Provide status and account values for non-securities related accounts Contact clients regarding late payments Facilitate with FPD to process incoming non-securities related insurance service requests from clients (process address changes, bank change information, loan requests and ISA service inquiries) Facilities Coordination On an ongoing basis, inspect the office space, order necessary repairs, or recommend replacements or improvements when necessary. Order supplies for District Network Office Completes all BXP required forms for vendor visits (Building Vendor Access Requests & (COI) Certificate of Insurance). Assigns and terminates all building/Suite access cards through BXP portal. Gives Santa Monica office tour, including second floor, for all Financial Planning Academy candidates Establish, implement, and maintain adequate security and safety procedures. Make sure kitchen is cleaned and dishwasher is started; coffee pot is powered down at the end of the workday and office doors are closed. Coordinate moves or expansions as necessary with COO. Research and coordinates available technology with the Technology Success Consultant and recommends changes in equipment as necessary to COO. Recommend the purchase and ensure proper maintenance of office equipment, furniture, and office supplies. Qualifications Experience in administrative support or customer service, preferably in the financial services and/or insurance industry Health and life licensed or gain licensing within 6 months of employment Excellent oral and written communication skills Familiarity with Microsoft applications and data entry and information retrieval software Demonstrated organizational and time management skills and ability to multitask, set priorities and meet deadlines Strong attention to detail with the ability to work with a high degree of accuracy Ability to work in a fast-paced environment Ability to work both independently and on a team Ability to maintain confidentiality Continue insurance education through schools, academies, licenses, registrations and designations
