Primary duties are to support the Asset Manager, manage the day-to-day activities in the office, assist the partners/owners & the Foundation team. 6 commercial real estate properties with approximately 50 tenants (office & industrial), a non-profit foundation, an operating company, and other family LLCs (approximately 11). We have an exciting opportunity for a part-time Administrative Assistant to join our team in Santa Monica, CA. Responsibilities Prepare tenant notifications of property activities, rent increases, lease compliance, etc. Support the transition process of new acquisitions and dispositions. Communicate with tenants and vendors on maintenance issues. Prepare master service contracts, master contract and repair work order agreements Assist the Asset Manager with annual budgets. Help track, collect and update tenant and vendor insurance certificates. Maintain lease and contract files, and other files located within the corporate shared drive. Answering phones and routing accordingly or taking effective messages Welcoming guests and offering hospitality Distributing mail and incoming deliveries, responsible for outgoing mail and packages Deposit rent checks via scanner Tenant & vendor customer service Assist with restocking office and kitchen supplies, running errands as needed Maintain professional office appearance, cleaning, validating parking, etc. Assist with IT upgrades & transitions Qualifications Excellent leadership, time management, and organizational skills Proven excellence as a property coordinator, office administrator, or in another relevant position Outstanding abilities to communicate in person, in writing, and over the phone. Knowledge of Microsoft Office and other office management tools and applications, including Adobe Pro, Teams, Outlook, Word & Excel Flexible enough to be a self-starter or a team player, depending on the project Familiarity with standard procedures and basic accounting principles used in the office Ability to work quickly, accurately and flexible in managing changing priorities 3+ years of experience providing excellent internal and external customer service. 3+ years of experience picking up different software systems quickly. 3+ years of administrative duties Prefer experience in commercial
Real Estate Hours:
20-25 hours per week.
Schedule:
Preferred schedule is Mon, Tues, Wed 8:30am to 5:30pm. Open to modifying scheduel as well.
Pay:
$26.00 - $29.00 per hour
