We are looking for a motivated, organized, and people-oriented Practice Assistant to support both front-office and operational functions across our hearing care practices. Position Overview The Practice Assistant plays a key support role within the organization by assisting with patient coordination, hearing aid handling and inventory, physician referral support, scheduling activities, administrative projects, and front-office coverage as needed. This is a part-time role with approximately 15-20 hours per week on average with scheduling generally determined at least one week in advance, if not more. This role may support multiple office locations throughout Sonoma and Solano Counties. Candidates who are also open to occasionally assisting in our East Bay office are preferred, though this is not required. Key Responsibilities Patient & Front Office Support Fill in for Patient Care Coordinators (PCCs) as needed (PTO, illness, etc.) Create a warm, welcoming environment for patients and visitors Answer phones and assist patients in person Coordinate and schedule patient appointments using office management software Follow up with patients who need to schedule or reschedule appointments Assist walk-in patients with hearing aid cleaning and troubleshooting Help ensure hearing aids and earmolds are prepared prior to appointments Maintain professionalism and compassion when assisting patients, vendors, and visitors Administrative & Operational Support Maintain and update physician and referral information within practice software systems Assist with hearing aid inventory organization, cleaning, charging, and tracking Support hearing aid trial tray management and follow-up coordination Pick up and process lab items as needed Assist with miscellaneous front-office and back-office projects Support insurance-related administrative needs such as verifications and coordination Marketing & Referral Support Assist with physician referral outreach and relationship-building efforts Prepare materials and support activities related to physician marketing initiatives Conduct outbound patient and referral calls Help communicate the value and benefits of the practice to prospective patients and referral sources Clinical & Technical Support Clean, service, and troubleshoot hearing aids Assist with basic hearing aid connectivity support (such as Bluetooth pairing assistance) Support continuing education and hearing aid preparation tasks for patients as needed Ideal Skills & Competencies Strong attention to detail, organization, and follow-through Excellent customer service and communication skills Natural empathy and ability to build trust with patients Ability to multitask and adapt in a fast-paced environment Strong problem-solving and troubleshooting abilities Professional demeanor with patients, providers, and vendors Ability to maintain confidentiality of sensitive information Comfortable working independently and collaboratively across multiple offices Willingness to establish and maintain relationships within the medical community Qualifications High school diploma or equivalent required 1-2 years of customer service, healthcare support, administrative, or project coordination experience preferred Strong computer skills, including familiarity with: Google Workspace Microsoft Word Excel PowerPoint Ability to learn office management and scheduling software Reliable transportation and willingness to travel between offices as needed Why Join Us?
