Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will be the backbone of daily office operations, ensuring smooth communication, efficient management of administrative tasks, and exceptional support to staff and clients alike. Responsibilities Handle incoming calls with proper phone etiquette, and assisting with taking wine orders over the phone Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records, such as invoicing and office recording Assist with bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes Support office management duties such as supply inventory, and maintaining a clean, organized workspace Provide excellent customer support by addressing inquiries promptly and professionally via phone or email Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Basic wine knowledge Experience or knowlage of creating marketing media, for promotional needs.
Comfortable using tools such as:
Adobe photo shop Experience with clerical tasks such as filing, data entry, proofreading, and document management Knowledge of office management procedures, including calendar management and organization skills Excellent customer service skills with the ability to handle multiple priorities efficiently Bilingual abilities are highly desirable to assist diverse clients and team members effectively Familiarity with multi-line phone systems and phone etiquette standards Previous office experience in administrative or receptionist roles highly desired Basic bookkeeping skills using QuickBooks or similar software are beneficial Strong organizational skills combined with effective time management to prioritize tasks efficiently If you enjoy working in a close-knit team and have a passion for wine, this would be a great fit for you.
