The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting various administrative functions. This role requires excellent communication skills, proficiency with office software, and the ability to multitask efficiently in a fast-paced environment. The Office Administrator plays a vital role in ensuring smooth office workflows and maintaining a welcoming atmosphere for clients and staff alike. Responsibilities Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy Answer multi-line phone systems promptly and direct calls appropriately using proper phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite, Google Workspace, and other computer software for administrative tasks Schedule appointments, manage calendars, and coordinate meetings efficiently Handle billing, bookkeeping, and QuickBooks entries as needed Support office management tasks such as supply inventory, mail distribution, and record keeping Provide customer support via phone or email, ensuring high levels of satisfaction Assist with clerical duties including typing, proofreading, and maintaining organized files Maintain a clean and professional office environment conducive to productivity Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or bookkeeping software is preferred Excellent organizational skills with the ability to prioritize tasks effectively Exceptional communication skills, including phone etiquette and customer service experience Bilingual abilities are a plus to assist diverse clientele Previous office management or administrative experience is highly desirable Ability to handle multiple responsibilities simultaneously with strong time management skills Attention to detail in proofreading and data entry tasks Familiarity with medical or dental receptionist duties is advantageous but not required Personal assistant or calendar management experience can be beneficial This position offers an engaging work environment where your organizational talents will contribute significantly to our team's success.
