Job Description

Job Overview We are seeking an energetic and highly organized Office Secretary to join our dynamic team! In this vital role, you will be the backbone of our administrative operations, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Your proactive approach, combined with excellent communication skills, will help foster a productive and welcoming office environment. This paid position offers an exciting opportunity to develop your office management expertise while contributing to the overall success of our organization. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks accurately using Microsoft Office and Google Workspace tools, including spreadsheets, documents, and calendars Assist with bookkeeping activities using QuickBooks, including invoicing and expense tracking Coordinate calendar management and schedule appointments for staff or executives as needed Support office management tasks such as ordering supplies, managing mail distribution, and overseeing general clerical duties Provide customer support by addressing inquiries via phone or email and ensuring a positive experience for clients and visitors Proofread correspondence, reports, and other documents for accuracy and clarity Handle confidential information discreetly while maintaining high levels of organization and efficiency Qualifications Willingness to learn Excellent organizational skills with the ability to prioritize tasks effectively Strong typing skills and computer literacy Bilingual abilities are a plus but not required Exceptional phone etiquette Demonstrated ability to handle customer service interactions professionally and courteously Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail Join us as an Office Secretary to be a key contributor in creating a vibrant, organized workplace where your skills make a real impact!
