Schedule:
Minimum 40 hours per week Position Summary Superior Electric Motor Service is an established, independent provider of electro-mechanical repair services, supporting a wide range of industrial customers. We are seeking a Service Operations Coordinator to support our repair department through administrative coordination and customer communication. This role serves as the administrative backbone of the service team, ensuring repair projects are properly documented, quoted, tracked, and processed from intake through completion. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Key Responsibilities Receive and document incoming repair projects by logging equipment details and job information Prepare and send repair estimates to customers in a timely manner Track open quotes and follow up with customers on pending approvals Process approved repairs, including purchase orders and credit cards Process customer payments Assist will-call customers with order pickups and inquiries Monitor and manage the service department email, responding to customer inquiries and concerns Communicate with drivers to coordinate pickups and deliveries Answer incoming phone calls and route or address requests appropriately Coordinate repair parts orders, including requesting vendor quotes and placing orders Issue purchase orders to vendors for repair parts Required Experience Minimum 2 years of office or administrative experience Familiarity with basic business processes (quotes, invoices, purchase orders, payments) Strong organizational skills with the ability to manage multiple tasks and priorities Professional communication skills, including clear and effective email and phone etiquette Comfortable working in a fast-paced, team-oriented environment Preferred Qualifications Experience in a service, repair, or industrial environment Familiarity with job tracking or project management systems Experience with QuickBooks, ASANA, or similar software Strong attention to detail and accuracy in data entry and documentation Ability to learn new systems and processes Operating a forklift
