Job Description

South Valley Farms is seeking a full-time Farm Clerk to join our local Wasco team!
Summary:
The Farm Clerk provides routine clerical, administrative, and customer service support to farm or ranch operations. Working under direct supervision, this position maintains accurate records, supports daily office activities, assists with regulatory and labor documentation, and coordinates with staff and external agencies as needed.
Responsibilities:
Answer phones, greet visitors, respond to routine questions, and provide professional customer service. Provide general clerical support, including data entry, filing, scanning, copying, mailing, and maintaining paper and electronic records. Collect, organize, and distribute farm or ranch records such as meeting notes, training records, labor documents, delivery tickets, invoices, and reports. Enter and process labor worksheets, invoices, and related paperwork to support payroll and contractor payments. Assist with preparing, tracking, and maintaining agreements, work orders, and documents for labor contractors, vendors, and service providers; notify management of upcoming license or insurance expirations. Help prepare and submit required regulatory reports and permits, including chemical use reports, burn permits, and other agricultural filings. Coordinate paperwork and schedules with irrigation districts, county offices, vendors, and internal staff, including water reports and fertilizer orders. Maintain inventories of office supplies, safety equipment, and PPE; request restocking when needed. Assist with scheduling meetings, trainings, facility use, vehicles, and equipment. Provide backup clerical support during staff absences or busy periods as needed. Performs other duties as assigned.
Qualifications:
High school diploma or General Educational Development (GED) required. One (1) year of directly related general clerical or administrative support experience. Proficiency using standard office software, including Microsoft Office applications. Ability to type a minimum of 40 words per minute and perform accurate data entry, including ten‑key functions. Ability to learn and operate in‑house databases and recordkeeping systems. Strong interpersonal, communication, and customer service skills. Demonstrated ability to maintain a high level of professional conduct, integrity, and confidentiality. Proactive work approach with strong attention to detail and accuracy. Ability to communicate courteously and professionally in both face‑to‑face and telephone interactions. V alid Driver's License.
Preferred:
Bilingual (English/Spanish) written and verbal communication skills. Experience supporting operations in an agricultural, ranching, or regulated work environment.
Other Information:
Occasional lifting up to ~30 lbs; sitting, standing, walking; frequent computer use; limited bending or climbing during site visits; adequate communication and vision for office and field observation. Primarily office‑based; occasional exposure to farm, ranch, or shop environments; variable weather and noise during visits; travel between sites; PPE required only in designated field or shop areas.
