We are a well-established fireplace service, repair, and installation company serving the Colorado Springs area. We are committed to providing high-quality workmanship, exceptional customer service, and dependable scheduling to our residential and commercial clients. We are currently seeking a professional and detail-oriented Scheduling Manager to join our team.
Position Summary:
The Scheduling Manager is responsible for coordinating daily service and installation schedules, communicating with technicians and customers, and ensuring efficient routing and timely completion of appointments. This role requires strong organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Respond to inbound calls and provide excellent customer service Schedule and dispatch technicians for service, repair, and installation appointments Communicate appointment details, updates, and changes to customers in a timely and professional manner Monitor technician schedules and adjust routes as needed to maximize efficiency Maintain accurate service records and documentation of all customer interactions while multitasking calls and system updates Coordinate with management regarding workload, parts availability, and job status De-escalate customer concerns with professionalism, empathy, and solutions-based mindset Prepare and distribute daily work orders accurately and on time to support efficient field operations. Review scheduling details, customer information, job scope, technician assignments, required materials, and special instructions to ensure all work orders are complete, error-free, and ready for execution each business day. Maintain strong attention to detail, prioritize changing demands, and promptly resolve discrepancies to minimize delays and service interruptions. Assist with general administrative duties as needed Continuously expand knowledge of our services and offerings to better serve customers Flexibility and willingness to adapt to evolving responsibilities and priorities, recognizing that in a small business environment team members often wear multiple hats and support a variety of functions as needed.
Qualifications:
Previous dispatching experience required Strong organizational and time management skills Excellent verbal and written communication skills Proficiency in Microsoft Office and QuickBooks Ability to multitask and remain calm under pressure High level of professionalism and attention to detail High school diploma or equivalent required
Preferred Qualifications:
Experience in HVAC, fireplace service, construction, or related trades Familiarity with service management or dispatch software
