  • About this job: To provide timely, accurate, and compliant records management and transcript support within a high volume setting.
The Records Request Coordinator serves as a primary point of contact for stakeholders, executing routine administrative processes to ensure the secure retrieval, archiving, and accessibility of student records. This role works in close collaboration with schools and central departments to ensure accurate district transcripts, course code usage, and the timely entry of transfer records while maintaining the highest standards of data integrity and customer service.

What You'll Do:
  • Process and fulfill high volumes of student records requests, including researching, retrieving, verifying, and securely delivering archived records in compliance with FERPA and district policies
  • Organize, extract, input, and maintain records data using district systems, ensuring accuracy, confidentiality, and timely processing of all requests
  • Compose and manage clear, professional correspondence related to records requests, including responses to inquiries, status updates, and issue resolution
  • Provide high quality customer service by responding to requests from former students, families, staff, and external agencies, offering accurate information and resolving concerns efficiently
  • Process, evaluate, and enter high school transcripts, perform requested and approved transcript, grade, and credit change requests, review and add new courses, collect and process new syllabi additions, and confirm graduation status of current and prior graduates into reporting platforms
  • Evaluate and input transfer records and other forms of prior learning for students in all district run, pathway, innovation, and charter schools; including home school, foreign, and facilities records
  • Provide guidance and support to team members on records request processes and systems, as directed
  • Respond to administrative and compliance related requests, ensuring adherence to district, state, and federal regulations
  • Participate in auditing and correction of transcripts as well as auditing practices to ensure graduation requirement compliance
  • Other duties as assigned
What You'll Need:
High School Diploma/GED Bachelor's degree preferred Three (3) or more years' experience in administrative/clerical work or combination of education and experience Lead for racial and educational excellence and work to dismantle systems of oppression and inequity in our community, along with believing in and supporting all students so they feel seen and heard with access to high quality education. Live and work with a permanent home address in Colorado while working with us. Have the ability with or without accommodations to meet the physical demands of the position.
