We host weddings, private events, nonprofit events, lodging stays, and special celebrations in a beautiful ranch setting. We are looking for a reliable, organized, and professional part-time team member to help support our client communication, tours, event preparation, and venue operations. Position Summary River Bend Ranch is hiring a Part-Time Venue Admin & Event Support Assistant to help support the sales, client communication, tour, and event operations side of the venue. This person will work closely with the venue's sales lead and ownership to help manage calls, emails, tour scheduling, client follow-up, calendar updates, event details, vendor communication, and general venue organization. This role may also support tours, walkthroughs, rehearsals, vendor arrivals, and on-site venue operations when needed. The ideal candidate is organized, warm, professional, detail-oriented, and comfortable communicating with couples, families, vendors, planners, and internal team members. This is not a full wedding planner role. The focus is helping River Bend Ranch stay organized, responsive, prepared, and professional before, during, and after events. Responsibilities Client Communication Support Answer or return basic inquiry calls when needed Help respond to client emails using approved templates and venue information Help schedule tours, walkthroughs, rehearsals, and planning meetings on occasion. Send tour confirmations and reminders Send follow-up emails after tours Help track interested couples and next steps Answer basic venue questions accurately and professionally Escalate pricing questions, contract questions, complaints, custom requests, or important sales conversations to ownership or the venue sales lead Administrative Support Help maintain the venue calendar Keep event details organized and up to date Help maintain client files, event files, and internal notes Track missing information such as guest count, vendor list, timeline, layout, lodging details, rehearsal time, and payment status Assist with weekly event-readiness checklists Help organize documents, forms, templates, and event details Support general office and admin needs related to the venue CRM / Pipeline Support Help keep leads and inquiries organized Track new inquiries, scheduled tours, completed tours, follow-ups, booked events, and lost leads Help maintain clean notes on each prospect or booked event Make sure important client details are not missed Help the sales lead stay ahead of follow-ups and deadlines Tour Support Help prepare for tours Confirm tour appointments Prepare basic tour materials and venue information Support the sales lead before and after tours Help send follow-up communication after tours Potentially assist with basic tours once trained and approved Vendor and Event Detail Support Help collect vendor information from clients Help confirm vendor arrival times and setup needs Help communicate basic venue rules and arrival instructions Help organize event-week details Help identify missing items before event week Help prepare simple event summaries for internal team members Coordinate with venue staff, maintenance, and event support team members as needed On-Site Venue Support When needed, this role may also assist with venue operations, including: Supporting walkthroughs or rehearsals Helping vendors find setup locations Assisting with light setup or reset Checking/wiping down bathrooms, bridal suite, groom area, ceremony sites, and common spaces Helping make the property guest-ready Communicating on-site issues to the appropriate team member Supporting event staff during busy event days Helping protect the property, guest experience, and venue standards •Bonus•We are also looking for someone or a couple that can learn to "baby sit" "house sit" the venue when we are out of town. This would include living at River Bend and Over seeing the venue so that we could go on occasional vacations. What This Role Does Not Include This position does not have authority to approve: Discounts Refunds Contract changes Payment changes Custom package changes Vendor exclusivity Special lodging arrangements Exceptions to venue rules Special alcohol, noise, fire, river, camping, parking, or overnight-use requests Any promise that creates a legal, financial, property, staffing, or operational obligation for River Bend Ranch Qualifications Highly organized and detail-oriented Reliable, punctual, and professional Strong phone and email communication skills Comfortable communicating with couples, families, vendors, and planners Able to manage multiple small details without dropping the ball Comfortable using calendars, spreadsheets, documents, and basic software systems Able to work independently and follow established systems Willing to help on-site when needed Professional enough to represent a high-end wedding and event venue Preferred Experience Wedding venue experience Event planning or event assistant experience Hospitality, hotel, restaurant, or catering experience Administrative assistant experience Customer service experience CRM or calendar management experience Sales support experience Vendor coordination experience Problem solving experience Physical Requirements Ability to walk and stand for extended periods when supporting events or tours Ability to work indoors and outdoors in changing weather conditions Ability to assist with table setup, venue preparation, and event support tasks Ability to occasionally lift or move event items, supplies, signage, or venue materials Ability to set up and take down and set up venue chairs Schedule This is a part-time role averaging 10-20 hours per week, with the possibility of 20-25 hours per week during peak event season. Hours may vary based on tour volume, event calendar, and venue needs. Some weekend and evening availability is required. Typical schedule may include:
Weekday admin blocks Occasional evenings Tour support Rehearsal support Limited weekend event support as needed Compensation $25-$30 per hour depending on experience, reliability, communication skills, and ability to support both administrative and on-site venue needs. Ideal Candidate The right person for this role is organized, friendly, calm, dependable, and comfortable wearing a few different hats. You do not need to be a full wedding planner, but you should enjoy helping clients, keeping details organized, supporting a beautiful event venue, and being part of a small team that cares about doing things well. Ability to problem solve and to cure small problems pertaining to plumbing, audio, and basic fix it skills a major plus.
