Primary Responsibilities:
Assist with phone coverage. Answer, screen, and direct incoming phone calls for the Service Department. Take incoming customer service calls, assist with scheduling, coordinating, and prioritizing all service calls as they are received. Act as back up support for All Coordinator positions. Assist with moderately complex daily, weekly, and monthly planning, coordinating, controlling, and directing of service department manpower and resources. Assist with customer interaction, communicating with Field Technicians, Service Supervisor, Field Service Manager and coordinating construction projects with Construction Coordinator and Project Managers. Provide back-up for generating, processing, closing, posting, and billing service and warranty work orders in a timely manner. Daily/weekly file and post service work order reports into appropriate Service Folders. Co-ordinate and update dispatch board/schedule with Service Coordinator hourly/daily as needed. Help Service/Maintenance Coordinators forecast upcoming work week so that a new schedule is created for the upcoming week. Contact customers with "Parts Pending" status as parts are received for repair scheduling. Assist Service Coordinator with repair quotes as needed. Assist with parts ordering for special orders as needed. Help generate service purchase orders as needed. Run monthly/weekly/daily reports as needed for Service Department management staff. Cross-train and fill in as a back-up for All Coordinator positions when out or on vacation. Maintain and update service and maintenance agreement customer/accounts receivable databases. Co-ordinate and update dispatch board/schedule with Service Coordinator hourly/daily as needed. Help Service/Maintenance Coordinators forecast upcoming work week so that a new schedule is created for the upcoming week. Contact customers with "Parts Pending" status as parts are received for scheduling. Assist Service Coordinator with repair quotes as needed. Assist with parts ordering for special orders as needed. Co-ordinate scheduling preventative maintenance calls with Maintenance Coordinator and post them to the daily dispatch board/schedule. Assist with updating contracts with and/or without price escalation, and sending out monthly renewal letters. As necessary, log and place filter and belt orders in advance of maintenances being scheduled. Update maintenance work orders with current list of needed filters and belts. Run reports as needed for upcoming maintenances, contract expirations, and renewals. Assist with ordering, processing, and tracking warranty parts, forms, and credits. Works with warehouse staff to facilitate pickup and delivery of equipment and parts as needed. Other duties, responsibilities, tasking, and special projects as assigned by management or ownership.
Our Requirements:
Minimum education high school diploma or GED equivalent for strongly qualified candidate. Certificate/Training/Degree from college or business school highly preferred. Some HVAC or construction background will be helpful but we are willing to train the right candidate. Strong written and verbal communication skills. Good proficiency with computers and Microsoft Word, Excel, Outlook, and Windows. Previous experience with accounting software program(s). Proactive approach with willingness to work independently as well as part of a team. Highly organized individual. Ability to multi-task. Experience prioritizing tasks in order to meet tight deadlines within a fast-paced organization. Possess a flexible personality because of the demands of shared work tasks with service, construction, and controls departments. Ability to maintain a positive, willing, and trainable attitude. Willingness and commitment to attend company sponsored training to keep knowledge and skills updated. Ability to get along with and work well with people on all levels and departments within and outside the company. Team player. Reliable transportation to and from work. Pay:
$18.00 - $21.60 per hour
