Summary of Position:
Under supervision, to perform varied secretarial and clerical work functions; to take and transcribe notes using a computer and application software; and to do other related work as required. This position will work in the Front Office and will provide support to staff and students. A detail-oriented person with previous experience using Infinite Campus Student Database and accounting experience would be helpful, but is not required.
Essential Duties and Responsibilities:
Record and monitor student attendance using Infinite Campus. Compose and type routine memoranda and correspondence from brief verbal or written instructions that may deal with privileged or sensitive information and data. Establish and maintain numerical, alphabetical, and subject matter files. Back up Head Secretary arranging appointments and meetings. Answer the telephone and initiate outgoing calls. Assist office visitors by making telephone inquiries, by answering questions pertaining to routine policies, regulations, and operational procedures, or by referring those making inquiries to appropriate offices. Compile information and prepare reports as required. Review records, reports, and data for accuracy, completeness, and compliance with predetermined and standardized procedures. May prepare input data for a computerized record management, storage, and retrieval system, and utilize the output reports in the operational functions of the office to which assigned. Assist supervisor by following up on administrative or clerical detail, which may include contact with members of the educational community. Operate a variety of standard office equipment. Bilingual skills required.
Education:
Equivalent to the completion of the twelfth grade, including or supplemented by coursework in typing, data entry, and business office procedures.
Experience:
Any combination of experience and training that would likely provide the required knowledge and skills is qualifying. A typical way to obtain the required knowledge and skills would be: One year of experience performing general clerical functions.
Knowledge and Abilities:
Knowledge of:
Modern office practices, procedures, and techniques. English usage, spelling, grammar, and punctuation. Standard office machines and equipment, including strong computer technical skills. Common customer service practices. Ability to: Learn and apply policies, regulations, and operational procedures. Perform secretarial and clerical functions of average to above average difficulty with speed and accuracy. Make arithmetical calculations with speed and accuracy. Type or keyboard. Establish and maintain an automated data management, storage, and retrieval system. Understand and carry out oral and written directions. Establish and maintain cooperative working relationships.
Physical Requirements:
The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions. Persons performing service in this position classification will exert 5 to 25 pounds of force frequently to lift, carry, push, pull, or otherwise move objects. This type of work involves sitting, walking, and/or standing. Exposure to hot, cold, wet, humid, or windy conditions caused by weather may occasionally be experienced. Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate business related equipment, and handle and work with various materials and objects are important aspects of this job. Additional Requirements:
