Job Description

Overview We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to executives and team members. This dynamic role offers an exciting opportunity to streamline daily operations, coordinate projects, and ensure the smooth functioning of busy professional environments. The ideal candidate will demonstrate exceptional organizational skills, excellent communication abilities, and a passion for delivering outstanding office management. Duties Manage and maintain complex calendars using Google calendars scheduling appointments, meetings, and events with precision. Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries. Handle all aspects of office management such as filing, data entry, organizing documents, and overseeing front desk responsibilities. Provide executive administrative support through tasks like proofreading documents, transcription, and preparing reports. Assist with event planning for company functions or meetings by coordinating logistics, vendors, and materials. Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping. Manage multi-line phone systems with professionalism and courtesy while maintaining excellent phone etiquette. Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items. Perform clerical duties including filing, photocopying, scanning documents, and maintaining organized digital records. Use Microsoft Office tools proficiently to create presentations, spreadsheets, and correspondence that reflect high-quality standards. Requirements Proven experience as a Personal Assistant or in an administrative support role with demonstrated office management skills. Strong organizational skills with the ability to multitask efficiently in fast-paced environments. Excellent written and verbal communication skills with attention to detail in proofreading and transcription tasks. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems like QuickBooks. Familiarity with office equipment such as multi-line phone systems and office management tools like DocuSign for electronic signatures. Experience in event planning, project coordination, bookkeeping, and customer service is highly desirable. Ability to handle sensitive information discreetly while maintaining professionalism at all times. Strong typing skills complemented by good phone etiquette and a friendly demeanor when interacting with clients or visitors.
