Danbury Board of Education Complex Danbury Public Schools serves a diverse community of more than 12,500 students across 20 schools and programs throughout the City of Danbury. Located in the Central Office, this Administrative Assistant position provides direct support to the Chief Human Resources Officer and legal counsel, while also supporting the work of the entire Human Resources Department. This is a year-round position in a fast-paced environment that requires strong organizational skills, professionalism, confidentiality, and the ability to communicate effectively with employees, applicants, administrators, and community members. The Administrative Assistant coordinates senior administrator calendars, responds to inquiries regarding HR-related services and processes, and helps ensure the efficient daily operation of the Human Resources Department. Position Summary This Administrative Assistant will ensure the smooth daily operation of the office of the Chief Human Resources Officer and other members of the Human Capital team. Specific assignments will be determined upon hire, based on demonstrated skills, experience, and the needs of the team. Representative Duties Maintain meeting schedules, calendars, and appointments for CHRO. Attend meetings as requested and take notes or prepare meeting minutes. Receive and respond to telephone calls, emails, and written communications from both internal and external stakeholders. Greet and assist visitors in person and by telephone in a professional and courteous manner. Assist in problem-solving and respond to inquiries with limited supervision. Organize, order, receive, and distribute office and departmental supplies. Create and maintain efficient filing and distribution systems. Maintain departmental budgets for supplies and programming in collaboration with the Department of Finance. Prepare purchase orders and perform general office duties including copying, filing, record maintenance, and document preparation. Assist with onboarding and hiring processes during peak recruitment periods. Maintain strict confidentiality regarding personnel matters and sensitive information. Perform other related duties as assigned. Knowledge, Skills, and Abilities - Minimum Qualifications Willingness to collaborate and team with other dedicated administrative staff members for problem-solving. Ability to work independently with minimal supervision, as directed by the CHRO or designee. Ability to be flexible and work harmoniously in a fast-paced environment. Ability to deal with the public tactfully and courteously, while adhering to strict confidentiality protocols. Superior oral and written communication skills. Familiarity with budgeting and financial management. Spreadsheet building and maintenance skills are a must. Excellent organizational, time management, project management, and problem-solving skills. Experience and Training Associate degree or higher preferred; work experience and demonstrated aptitude will be considered. Minimum of two years relevant experience in a high-level administrative setting (school environment experience a plus). Working familiarity with employee data systems a plus; knowledge of Frontline and/or Tyler Infinite Visions preferred. Proficiency in Microsoft Word, Excel, PowerPoint (or similar platforms). Proficiency in Google Docs, Sheets, Slides. A performance task may be required as part of the interview process.
Terms of Employment:
This is a Grade 4 Full Year Administrative Assistant position whose terms and conditions are defined by the Collective Bargaining Agreement between the District and UPSEU (posted on the District website). Starting rate $28.10/hour, with a 35 hour work week on a full year calendar basis (approximately $51,140 annually).
