CATHOLIC CEMETERIES ASSOCIATION OF THE ARCHDIOCESE OF HARTFORD, INC. FULL-TIME ADMINISTRATIVE ASSISTANT
Location - Derby, CT Hours - 8:00am-4:00pm (Every other Saturday 8:00am-Noon) Full-time 37.5 hours per week.
Position Overview:
We are seeking a dedicated and organized Administrative Assistant to join our team at Catholic Cemeteries Association. As an Administrative Assistant, you will play a crucial role in providing administrative support, maintaining records, and assisting with daily operations to ensure the smooth functioning of the office. You will represent the Association to the public in a manner that reflects favorably on the Catholic church.
Responsibilities:
General Office Support:
Greet families, answer phone calls, and maintain a welcoming, and professional office environment.
Record Keeping:
Maintain accurate, organized records of interments, burials, and other cemetery-related documents. Update and enter data in software systems as needed.
Documentation:
Prepare and process contracts, invoices, permits, and other documents essential to cemetery operations. Ensure all paperwork is completed accurately and submitted on time.
Financial Support:
Assist in tracking payments, processing all incoming payables, lot returns, and related financial tasks. May also assist with payroll processing.
Confidentiality:
Manage sensitive information with discretion and maintain confidentiality at all times.
Collaboration:
Work closely with the Cemetery Manager and Assistant Cemetery Manager to support smooth communication and efficient daily operations.
Qualifications:
High school diploma or equivalent; additional administrative training a plus. Proven experience as an administrative assistant or in a similar role. Strong organizational skills with exceptional attention to detail. Proficient in MS Office Suite (Outlook, Word, Excel). Ability to interact with families professionally and empathetically.
