This role is vital in maintaining efficient office functions, providing exceptional customer service, and ensuring smooth communication across departments. The ideal candidate will possess strong computer literacy, excellent organizational skills, and experience with office management tools. This position offers an opportunity to work in a dynamic environment where professionalism and multitasking are essential. Responsibilities Manage front desk duties, including greeting visitors and handling inquiries with professional phone etiquette Operate multi-line phone systems to direct calls efficiently and assist clients or staff as needed Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management software Schedule appointments, manage calendars, and coordinate meetings for staff or executives Appointment setting and calendar coordination for multiple offices. Support customer service efforts by addressing client questions and providing timely support Perform clerical tasks such as photocopying, faxing, and organizing office supplies Maintain a clean and organized workspace to promote productivity and professionalism Qualifications Proven experience in office administration, clerical work, or related roles Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools Experience with QuickBooks, calendar management, and bookkeeping is preferred Strong organizational skills with the ability to prioritize tasks effectively Excellent written and verbal communication skills. Attention to detail in proofreading and document management Ability to work independently with minimal supervision while managing multiple responsibilities efficiently Prior experience working in a fast paced working environment.
