Job Summary We are seeking a dynamic and organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office functions, providing exceptional support to staff and visitors alike. As an Office Assistant, you will handle a variety of administrative tasks, manage front desk operations, and contribute to creating an efficient and welcoming workplace environment. Responsibilities Greet visitors and clients with professionalism and warmth at the front desk, ensuring a positive first impression. Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette. Perform data entry, filing, and record-keeping tasks using Microsoft Office, Google Workspace, and other office software to ensure organized documentation. Assist with calendar management and scheduling appointments for staff or executives, ensuring efficient time management. Support bookkeeping activities such as invoicing, expense tracking, and basic QuickBooks entries to maintain financial accuracy. Handle incoming correspondence, emails, and inquiries promptly while providing exceptional customer support and service. Maintain office supplies inventory, organize files systematically, and ensure the office environment remains tidy and functional. Requirements Proven experience in an office setting with strong clerical skills and familiarity with office management procedures. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong typing skills with high accuracy; experience with data entry is preferred. Exceptional customer service skills coupled with professional phone etiquette; experience with multi-line phone systems is a plus. Bilingual abilities are highly desirable to assist diverse clients and team members effectively. Ability to handle confidential information discreetly while demonstrating excellent proofreading skills.
