Job Description

Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant, you will handle a variety of administrative tasks, support office management, and provide exceptional customer service. Your enthusiasm and efficiency will help create a welcoming and productive workplace atmosphere. Duties Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette Perform data entry, maintain accurate filing systems, and organize documents for easy retrieval Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports, correspondence, and presentations Support bookkeeping tasks using QuickBooks to assist with invoicing and expense tracking Coordinate calendar management for team members, scheduling appointments and meetings with attention to detail Provide customer support by addressing inquiries via phone or email, ensuring a positive experience for clients and visitors Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative operations Proofread documents for accuracy and clarity before distribution to ensure professionalism in all communications Requirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy with proficiency in Mac, Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Experience handling multi-line phone systems and practicing professional phone etiquette Bilingual abilities are highly desirable to support diverse client needs Knowledge of QuickBooks or bookkeeping experience is a plus Previous experience as a dental or medical receptionist or personal assistant is advantageous Exceptional customer service skills with a friendly demeanor and positive attitude Strong typing skills along with attention to detail for proofreading and data entry tasks Ability to manage time efficiently and prioritize tasks effectively Join us as an Office Assistant where your enthusiasm fuels our success!
