$25.00 - $30.00 per hour, commensurate with experience Garg Consulting Services, Inc. is a civil engineering consulting firm delivering transportation infrastructure projects across the Northeast. We are seeking a highly organized and detail-oriented Office Coordinator to provide daily administrative and operational support across multiple departments. This role is ideal for a proactive professional with strong communication skills who thrives in a fast-paced office environment. Key Responsibilities AdministrativeOperational Support Provide administrative support including scheduling, calendar management, and document preparation Coordinate meetings and prepare meeting materials Manage professional correspondence via email, phone, and written communication Answer and route incoming phone calls, serving as a professional first point of contact Coordinate domestic travel arrangements Provide cross-functional administrative support to HR, Accounting, and Engineering Teams Office OperationsFacilities Coordination Serve as the primary point of contact for office facilities and day-to-day building needs Coordinate with property management and external vendors for maintenance, cleaning, utilities, and repairs Submit, track, and follow up on facilities and maintenance requests Support office safety, cleanliness, and overall workplace readiness Assist with office moves, workstation setup, and space organization Maintain vendor contact information, service schedules, and facilities related documentation Order office supplies and manage inventory for common areas and workspaces EventsWorkplace Experience Coordinate bi-weekly office lunches, including food ordering, setup, and cleanup End-to-end management of company functions Required Qualifications 2-4 years of experience in administrative support or office administration Associates degree (A.S.) or higher required Strong organizational and time management skills Excellent verbal and written communication High attention to detail and accuracy Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience with scheduling and document preparation Ability to multitask, prioritize, and meet deadlines Physical Requirements Ability to lift and carry up to 25 pounds occasionally, with or without reasonable accommodation Ability to sit, stand, and walk for extended periods during the workday Ability to use standard office equipment and perform repetitive computer-based tasks Preferred Qualifications Experience in engineering, construction, architecture, or professional services Event planning experience CompensationBenefits Medical, Dental, Vision Insurance 401(k) Retirement Plan with Company Match Paid Time Off (PTO)Paid Holidays Performance-Based Bonuses Wellness perk: gym membership reimbursement Garg is an Equal Opportunity Employer.
